Administrative Coordinator -Campus School

Description:

Carlow University invites applications for the position of Administrative Coordinator. The Administrative Coordinator provides reception duties and clerical support to the Executive Director and Head of School and the Assistant Director related to the efficiency of day-to-day office operations.

Responsibilities:

  • Perform administrative duties and provide secretarial support in all projects.
  • Receive incoming calls, take accurate messages and direct to appropriate faculty and staff.
  • Greet visitors and respond to routine external and internal inquires. 
  • Assist children, faculty, staff and parents with confidential as well as routine questions and concerns. 
  • Maintain daily organization and appearance of the office. 
  • Distribute all incoming mail, memos, and flyers.
  • Monitor daily attendance including late arrivals, early dismissal, verifying excused and unexcused absences, printing and distributing the daily attendance record to faculty. 
  • Prepare all mailings including, report cards, parent-teacher conference materials, summer packets. 
  • Update student and family information in files and school database.
  • Maintains Safe Environment Database.
  • Serve as liaison between Campus School and Diocesan Schools Office.
  • Coordinates Substitute Teachers.
  • Coordinate all aspects of student transportation.
  • Assist Athletic Association and Parents' Association with secretarial support
  • Order all equipment, flowers, food, etc related to school events.
  • Order and distribute office supplies and maintain supply inventories and records.
  • Offer support to University and Sisters of Mercy as needed. 
  • Assist student, faculty, and staff with medical needs in the absence of the school/university nurse. 
  • Demonstrates and reflects an understanding of and commitment to the mission and core values of Carlow University and the Sisters of Mercy.   
  • Serve as liaison between Campus School and Facilities Department.
  • Demonstrates and reflects an understanding of and commitment to the mission and core values of Carlow University and the Sisters of Mercy.   
  • Flexible work day when special events are scheduled.
  • Professional and confidential in all school matters.
  • Perform other duties, functions and activities as assigned. 

Requirements: 

  1. High School diploma.
  2. 1 - 2 years of administrative support experience.
  3. Exceptional customer focus, telephone skills and protocol. 
  4. Dedicated team member who demonstrates initiative and willingness to help others as needed. 
  5. Intermediate computer skills.
  6. Ability to exercise good judgment in establishing priorities, making decisions and problem solving.
  7. Strong attention to detail, the ability to work with a diverse population; the ability to handle multiple tasks, and to work in a high volume, fast-paced, goal-oriented atmosphere, both independently and as part of a unified team.
